SECURING YOUR TOUR
Ensure that the name on your reservation is the same as it appears on your passport. An error may result in a name change penalty or boarding being denied by the airline. All additional requests including tour extensions will need to be confirmed and acknowledged by Travel Asia prior to making full payment. Please note that the prices listed are based on double occupancy. Single travellers are required to pay a single supplement fee, as listed in the tour terms. The flight booking will be made by Travel Asia using the information provided on your Reservation Form and changes submitted to us before full payment is received. A flight cannot be changed after Travel Asia has confirmed the flight with you; otherwise an airline penalty will be applied to your invoice.
Payment can be made via PayPal or credit card. Payment for your tour must be received within 14 days of the invoice issuance. If your tour departs within 60 days, payment is required within 5 working days of issuance. Your tour and flight ticket will not be secured until full payment is received. We cannot guarantee your tour seat prior to full payment being made. If payment is made after the due date and the desired departure date is subsequently full, we will offer you alternative departure dates to choose from. If you are unable to travel on the dates offered, we will provide you with a full refund.
If you wish to make amendments to your reservation including visa and travel insurance preferences, package add-ons and date changes, these must be made prior to payment. If amendments are requested after the payment has been received a $150 service fee will apply. If your flight ticket has been purchased and you request a date change, an airline penalty will apply.
Please ensure that the name on your reservation is as it appears on your passport. If you fail to do so a name change penalty will be applied and you may be denied when boarding the aircraft. If this occurs, you will not be eligible for a refund.
If you wish to cancel your tour a cancellation notice via letter, email or fax must be received by Travel Asia. If you wish to cancel before the invoice has been paid, no cancellation fees will apply. Cancellations made after the invoice has been issued and paid will result in a service fee of $100/person and additional penalties may apply. We are unable to refund any amount if a cancellation is made after the air ticket has been purchased.
Any requested changes made after the invoice has been paid will be subject to penalties and/or surcharges. Traveller substitutions are considered cancellations and a refund will not be granted if the air ticket has been secured. Cancellation penalties charged by airlines or transport companies will be applied if flight or train/transport tickets have been issued, in addition to the cancellation fees charged by Travel Asia. After the trip has commenced we are unable to refund any amount for unused services due to your early departure, late arrival or missed days on tour.
Refunds will be calculated from the day the request for cancellation is received and will not be granted if air ticket has been issued. We will refund any payment made to Travel Asia directly, less any cancellation fees, transport penalties, visa application and travel insurance fees that are applicable within 14 days of our receipt of your written cancelation request. A full refund will be granted if we are unable to accommodate for your preferred departure dates or if we are required to cancel the tour for any reason.
